Reviewing scanned mill certificates with AI and human checks

A scanned certificate needs the same evidence discipline as a searchable PDF. AI can help propose values from the page image, but every proposed value still needs a person to inspect its label, row and source. Good preparation makes that review easier.

Check the scan before extracting values

Open the original at a readable zoom. Confirm that all expected pages are present, the page edges are not cropped and important table headings are legible. If a stamp covers a heat number or an image is too blurred to read, request a better original instead of asking software to guess.

Keep the original unchanged. If you create a more readable working copy, preserve its relationship to the supplier’s original and record the transformation in your own process. Do not edit a source image to make an uncertain character look certain.

Check the errors that change meaning

Pay particular attention to similar characters: O and 0, I and 1, or B and 8. Review minus signs, decimal separators, prefixes and suffixes. In dense tables, confirm that the extracted value came from the intended row and column rather than the neighboring product or heat.

A fluent answer is not evidence of a correct reading. If a suggestion lacks support in the visible image, leave it unconfirmed. If two pages disagree, record the disagreement rather than selecting whichever answer looks more plausible.

Use source pages as the review boundary

In MeltLedger, optional AI receives the original PDF and proposes the five supported evidence fields. The interface connects suggestions to source pages so you can inspect the certificate. Scanned-image suggestions need visual checking even when selectable text is unavailable.

AI does not mark the evidence reviewed on your behalf. Confirm the label and value, correct any mistake with a note, and only then save a review snapshot. Manual review remains available if AI capacity is temporarily unavailable.

Test a representative document first

The current document limit is 10 MB and 10 pages per PDF. Start with one certificate that you understand, rather than assuming every supplier layout will be read equally well. Compare the suggestions with your own reading and inspect missing fields.

The free trial includes five unique certificates without a card. Selecting AI analysis sends the PDF to OpenAI after your confirmation; opening a document for manual review happens in the browser. The privacy notice explains provider processing and retention.

Common questions

Can I upload a confidential certificate into the public chat?

No. The product assistant is for product questions and does not accept document uploads. Use the private checker only for documents you are authorized to process.

What if AI reads a value incorrectly?

Correct it against the original, record a note and keep it unreviewed until you have checked the source. Never rely on a suggestion alone.
